i think that "off the top of our heads" is a tad too informal in English for the context...so maybe going for use of the word "estimate" or "quote" in Spanish may be a better choice than trying to find a translation of "off the top of our heads"

tal como los recordábamos
"From the top of my head" means "tal como lo recuerdo", "si no me equivoco", pero sin contrastar con datos fehacientes.

Para este caso concreto recomiendo "tal como los recordábamos" o una solución similar. La frase completa sería:
"Cuando nos reunimos el 11 de octubre, los precios que le/les dimos eran tal como los recordábamos. Ahora hemos determinado, tras volver al Reino Unido y preparar la documentación, que los precios serán superiores a los tratados". (Esto es sólo una idea).
